Add a user
Whether a team member, client, or additional admins, adding users to your Sendible account can help you organise and schedule your content and manage your tasks.
Take a look
Create a new user
- Click on your username on the top right-hand corner of the dashboard.
- From the drop-down menu, select Manage users
- Click on the New User button.
Account tab
- 'User type': Choose from Team member, Client or Admin and click on the type of user account you want for this user. See Overview of user types for more information regarding those choices.
- 'Name or company': This is the name displayed on the user account. It is required.
- 'Email': This is the email address linked to the account. This will be used to log in and for sending certain notifications. It is required.
- 'Phone number': You can choose to add a phone number.
- 'Username': Usernames must be unique and contain only text or numbers. It will appear in a few places on the dashboard. (The 'Name or company' more commonly appears on the dashboard.) It is required.
- 'Password': Create a password which will be used to log into the user account. Make it a good one!
- 'User colour': Choose a colour to help differentiate each user within the dashboard. It's your choice, but you could pick a colour for each user type, location, or client type, or have a different one for each user.

Profile image: Click on the image icon to upload or change the user's avatar. Files must be .jpg or .png.

Workflow tab
- 'Managed by': Choose another user account to manage this one. This will allow the manager to view their dashboard and can be used to limit the number of dashboards that managers work with.
- 'Maintain default access structure': The access structure sets the hierarchy of how users are managed.
If set to Yes, the user will have access to all users below them in the structure.
If set to No, the hierarchy will be ignored, and the user will have access to all users.
Tip: Learn more about user access structure in the article: How can I set one user to manage another user? - 'Also has access to': Select the accounts you want this user to have access to. This allows the user to be able to view all correspondence on the selected accounts.
- 'Permissions': Permissions groups are set up in a separate menu from the Users option. With permission groups, you can restrict the features that a user has access to.
Caution: Permissions groups are not available on all subscription plans.
- 'Needs approval before publishing': When clicking the Yes option it will bring up a list of users to choose from. The account chosen will need to approve all of this user's messages before posting.
Location tab
- 'Time zone': Select the appropriate country from the first drop-down menu, then select the specific time zone from the second drop-down menu.
- 'Language': Select the desired language from the drop-down menu.
- 'Clock format': Select whether you want a 12-hour or 24-hour clock.
Publishing tab
- 'Default URL shortener': The URL shortener used for the user account will be set to Bitly by default, but you can change this to ''do not shorten'' from the drop-down menu.
- 'bit.ly access token' and 'bitly pro domain': If you already have a Bitly account, you can integrate this with Sendible by adding your Bitly login, Bitly key and, if applicable, your Bitly domain. Please see this page for more information.
Caution: Adding your own Bitly account is not available on all subscription plans.
- 'Rich text editor': You can select the Rich Text Editor when posting to a Blog. Please note that rich text formatting options are not supported by most social media sites, including Twitter and Facebook, so these options are usually only displayed for blogs.
- 'Pause scheduled messages': You can pause the scheduled messages. Messages scheduled during the time this is set to 'On' will still show as 'Sent' to prevent them from being sent all at once when this is turned back to 'Off'—but they will not be sent to be published. To reschedule these messages, please go to your ‘Sent’ view and use the ‘Repost’ option.
- 'Default filter': You can select which filter is used by default when displaying various views in the dashboard. This is set to 'My user' by default but can be set to ‘All Users’ to show all dashboards. The messages displayed when ‘All Users’ is selected will depend on which dashboards the user has permission to view based on the user hierarchy.
Security tab
'Valid IP addresses': For increased security, you can restrict access to the new user's account by specifying the IP addresses from where they can access Sendible. You can add multiple IP addresses, but not a range.
Custom fields
If you have set up custom fields for users, you can enter the requested information in the listed fields.
Once you’ve provided all the options you want for the user account, select the Create User button.
FAQs
Do I need to share profiles each time I set up a new user?
Yes, when adding a new user, it's good practice to share profiles that have already been connected under another user. Your new user also has the ability to add profiles to their own account.
Sharing profiles can be a good option for a couple of reasons:
- If you share a profile with a new user, then they will have access to all the reporting data already gathered by your account. They'll be able to generate reports reaching back to when you originally added the profile rather than the date they added it themselves.
- If more than one user manages specific accounts, sharing profiles allows all users to see which messages have been scheduled and when.
- Each account has a limited number of total profiles they can add. If each user adds their own profiles, you can reach this limit quickly. On the other hand, if the profiles are shared among users, you can increase the number of unique profiles you can work with on the account. See Transfer and share profiles for more details.
For example:
For an account which allows up to 4 users and 24 profiles, if each user adds 6 profiles and doesn't share them, then each user can work with only 6 profiles.
If, instead, one user adds all allowed 24 profiles and shares them with the other 3 users, then everyone can work with all 24 profiles.
It also works if each user adds 6 profiles and shares them with the other 3 users. Once again, everyone can work with all 24 profiles.
Important: Be careful not to add a profile to your account if it has already been shared with you. This can make it difficult to know which profile to choose when composing posts and can result in duplicate posts.
